Emeritus/Retired Faculty General Privileges

The University of Georgia recognizes that many retired faculty who have been conferred emeritus status continue to contribute to the University’s mission. In support of their ongoing commitment, they will retain full physical and digital access to UGA libraries. They will have access to free software available to UGA students and faculty. Other resources necessary to continue their contribution will be considered on a case-by-case basis by their School/College dean.  A full list of access and privileges is below.

  • UGA E-mail
    • UGA retirees are currently able to keep their UGA MyID and UGAMail after retirement.  This practice has allowed retirees to continue to access some UGA services after retiring. Beginning in 2023 UGA retirees who do not access their accounts for a year or more will have their accounts deactivated. More information about retiree access is available on the EITS website here.
  • UGA Card (building access, etc.)
    • Retirees can continue to have a UGA Card.  The UGA Card uses the UGA ID number (8x) and that remains active.
    • Services that a retiree can access are based on the service owner.

  • Office Space
    • It is the responsibility of each dean and department head to oversee the assignment of office space to emeriti faculty members.

Emeritus Faculty Software and Device Access

Note: Some retirees may have additional access depending on their continued affiliation with a department, or if in retire-rehire part-time employment. 

  • MyID
    • Yes, if a retiree logs in at ugamail.uga.edu at least once a year.
  • SSO
    • Retirees with active MyIDs do have access to SSO. Some SSO-enabled applications may have narrow authorizations which exclude retirees
  • Duo/Archpass
    • Retirees with active MyIDs do have access to Duo/Archpass.
  • VPN
    • Yes
  • UGAmail/Microsoft Office
    • Yes, if a retiree logs in at ugamail.uga.edu at least once a year.
    • Web versions of MS Office, available upon logging in at ugamail.uga.edu, but not the desktop Office365 applications.
    • Duo is not enabled for retirees in O365 due to lack of appropriate O365 licensing levels.
    • Mailbox size is limited to 25GB.
  • Other software accessed via MyID like Zoom, Adobe
    • Retirees in general do not have access to other software since most software is only licensed to active faculty, staff, and students.
  • UGAmart
    • Retired employees have all security roles except for self-service roles removed from their profiles in UGA’s Financial Management system effective the date of the retirement (termination). This self-service access, including UGAmart shopper access, remains active for 60-days following the termination date. 60 days after termination, the employee profile becomes inactive and all access is removed from both systems.
  • Elements
    • No
  • OneUSG Connect (paystubs, etc.)
    • Upon retirement, an employee’s security roles are removed from OneUSG Connect and replaced with a retiree security role which provides the ability to see pay history. In some circumstances (emeritus faculty, for instance), a retiree may be given a role or roles that grant broader system access based on their ongoing affiliation with UGA.
  • vLAB
    • No
  • Athena
    • Emeritus or retirees have access in Athena to the sections they taught via the Faculty Services menu, the student information for students in the classes they taught, and their Personal Information.
  • UGA computers and devices
    • Access depends on the department. MyID login would work but endpoints can be configured to have or not have retirees as users.
